Account Configuration

I need to add a new site. How do I do this?

Admin users have the ability to add new sites/entities/facilities (e.g. Head Office building) to the organisation's existing hierarchy.

To add a new site, follow the steps in the Manage Entity section here: Adding & Updating Entities

I need to add a new emission source. How do I do this?

Admin users have the ability to add new emission sources (e.g. diesel) to the organisation's existing emission source profile.

To add a new emission source, follow the steps in the Manage Emission Profile section here: To set up a new Emission Source.

Important note: Once you add an emission source, ensure you then 'assign' it to the relevant sites/entities.

I need to add a new user. How do I do this?

Admin users have the ability to add new user to the organisation and assign them the appropriate role/access level.

I can't see all of my sites in CarbonView? Where have they gone?

If you are an Admin user, you will be able to see all sites within your Entity Hierarchy. If there are any sites that you cannot see, please raise this with the Support Team at http://support.acresta.com/home.

If you are not an Admin user, then you would have been given permission to see a sub-set of entities by your CarbonView account manager. Typically, people who need access to multiple sites/entities are set up as Restricted Users. Admin users then assign Restricted Users to separate Accounts which enable them to only see the entities within those Accounts.

One possible reason why you cannot see all of your sites is that you haven't been assigned to the relevant Account or some of your entities are not listed within the Account you have been assigned to.

To rectify this, ask your CarbonView account manager to Update Accounts.

To do this, the Admin user will firstly check that you are set up as a Restricted User (in the Manage Users section).

Once confirmed, they will then need to go to Admin > Users > Manage Accounts menu.

They will select the relevant Account, click “Edit” and either:

  • Add you to the “Assigned Users” list within the “Assign Users” tab (by clicking the “Add” button next to your name).
  • Add the missing entities to the “Assigned Entities” list within the “Assign Entities” tab (by clicking the “Add” button next to the Entity's name)

Once this has been completed, you will need to logout and log back in. You should now hopefully see these sites/entities.

An emission source (e.g. diesel) is not available for one of my sites. I can see if for all my other sites but not this one.

In CarbonView, Emission Sources can be assigned & unassigned from entities.

This enables users to know exactly what fuels/energy sources/resources they need to report data for and not guess which ones are applicable to them.

In this scenario, it sounds like an emission source has not been assigned to one of the entities.

To rectify this, ask your CarbonView account manager to Update Accounts.

To do this, the Admin user will go to Admin > Emission Profile > Manage Emission Profile.

They will select the relevant emission source from the hierarchy, go to the “Assign Entities” tab and move your entity from the “Available Entities” list (on the left) to the “Assigned Entities” list (on the right).

Once this has been completed, you will need to logout and log back in. You should now hopefully see this emission source.

Entering/Editing Data

When I try to edit existing data, I get an error message "Asset XX" is not assigned to Emission Profile Source "XX". How do I fix this?

This error results because either you're trying to add data to an asset that hasn't been assigned to the Emission Source you are entering data for. Alternatively, it may be that in the past you had assigned data to this asset and the asset has since been removed.

To resolve, an Admin user needs to go into the Manage Emission Profile section > select the emission source > click on the “Assign Assets” tab > move the asset into the “Assigned Assets” list (on right hand side). They may then also need to assign the Asset to the Entity if this hasn't been done. This is done in the Manage Entities section. Select the relevant Entity and do the same in the Assign Assets tab.

Uploading Data

I'm trying to upload a csv file but get a "Bad File" message. What am I doing wrong?

The CSV File that you are using needs to match your organisation's Data Template. If the file you are uploading is not in the same format, you will get a “Bad File” error message.

Check that the following things are in place:

  • The file is saved as a CSV file (i.e. “.csv”, not “.xls” or “.xlsx”)
  • The order of your data columns is the same as your organisation's Data Template
  • You have selected the “Custom Template” rather than “Standard Template” button before clicking the “Upload Emission Data” button. You have selected it correctly if the “Custom Template” button is green.

If you continue to get an “Bad File” message if all of these are in place, please log a ticket with http://support.acresta.com/home.

When I upload a csv file, the status is "Processed with Errors". What does this mean? How do I correct these?

If all data in your CSV file uploads successfully, you will receive a “Processed” Status.

If some of your data uploads successfully, you will receive a “Processed by Errors” Status. If you receive this message, you will also see a number (blue text) in the “Errors” column. This indicates the number of errors in the file.

Click on the number in blue text (e.g. “14”) and the file with errors will download. This error file contains:

  • Only the data rows that unsuccessfully uploaded.
  • You will see two additional columns (columns A & B) which identify the row number and the error experienced.

How do I resolve the error identified?

There are a couple of common error. See below for how to resolve each.

Error Reason Steps to Resolve
Entity “XX” is not assigned to Emission Profile Source “YY” Data cannot be uploaded to an emission source if it is has not been allocated to that entity. This is essentially the same issue as not being able to see an emission source for an entity in the manual data entry form. To resolve, an Admin user needs to go into the Manage Emission Profile section > select the emission source > click on the “Assign Entities” tab > move the entity into the “Assigned Entities” list (on right hand side).
Wrong date format. The date format does not match the date format set up in your user account. To upload data, you need to use the same date format To resolve, an Admin user can either update your date format in your user profile by going into the Manage User section. Typically, the date format set for most users is DD/MM/YYYY so also try using this
Asset “XX” is not assigned to Emission Profile Source “YY” Data cannot be uploaded to an asset if it is has not been allocated to that emission source. To resolve, an Admin user needs to go into the Manage Emission Profile section > select the emission source > click on the “Assign Assets” tab > move the asset into the “Assigned Assets” list (on right hand side). They may then also need to assign the Asset to the Entity if this hasn't been done. This is done in the Manage Entities section. Select the relevant Entity and do the same in the Assign Assets tab.
Entity “XX” does not exist. The Division column must contain the exact EntityID for the Entity you are uploading. This message means the system does not recognise the EntityID you have entered. An Admin user can double check the EntityID by going into the Manage Entity section, selecting the relevant entity and checking the “EntityID” field. Also check that there are no spaces at the end of the EntityID which may be causing the error
Emission Profile Source “XX” does not exist The Emission_Profile_Source column must contain the exact EmissionID for the Emission Source you are uploading. This message means the system does not recognise the EmissionID you have entered. An Admin user can double check the EmissionID by going into the Manage Emission Profile section, selecting the relevant emission source and checking the “EmissionID” field. Also check that there are no spaces at the end of the EmissionID which may be causing the error
Unknown units “XX” The Contribution_Units column must contain the exact name of the Unit of Measure you are using. The Unit of Measure also must be an available unit for the emission source you are reporting against. To check that the unit of measure is available for the emission source, go into the Manage Emission Data section, select the Entity & Emission Source, click on “Create Emission” and check what units are available in the Units dropdown. If your unit is available, it may be that you have not used the correct naming format. To get the correct naming format, refer to List of Contribution Units. Alternatively, if the emission source is a Custom Emission Source, an Admin user can check the specified Unit of Measure allocated to the custom emission source in the Manage Emission Profile section.
Unknown currency “XX” The Currency column must contain the exact name of the Currency you are using. To get the correct naming format, refer to List of Currencies.
Column “Contribution” must be a number consisting of one or more digits A non-numercial symbol has been entered in this column. Look for and remove any commas, currency symbols or dashes from this column. Change any dashes (i.e. “-”) that may represent zeroes to 0.
Contribution is required for this type of Emission Profile Source. [ “” ] You cannot leave any contribution field blank. Replace all blank Contribution fields with a 0 or delete the row
Column “Cost” must be a number consisting of one or more digits A non-numercial symbol has been entered in this column. Alternatively, a Currency has been specified by no Cost data has been inputed (i.e. field left blank) Look for and remove any commas, currency symbols or dashes from this column. Change any dashes (i.e. “-”) that may represent zeroes to 0. If you do not wish to add Cost data, remove the Currency specified in the Currency column.
Line does not match expected pattern Indicates that the number of columns in the file does not match the number of columns in their data-template Check your upload spreadsheet against your organisation's data template, revise and re-upload

I've accidentally been reporting data against the wrong site and need to move it to the correct site.

Please raise a support ticket at http://support.acresta.com/home and provide sufficient details to enable the migration from where the data currently is and where it needs to go.
