Manage Upload Data

Overview

  • This section allows you to upload multiple rows of data using a CSV spreadsheet.
  • The CSV spreadsheet must be in the specific format set up for your organisation.
  • Admin Users can add fields, customise and download the organisation's CSV template in the “Manage Data Template” section.

Preparing the CSV Spreadsheet

1. Obtain a copy of your organisation’s custom CSV template from your CarbonView Admin user or account manager.

2. Complete the fields in accordance with the guidance provided in the “How to use the data template

3. Save the spreadsheet on your computer as a “.csv” file.

4. Ensure the file has a unique file name. e.g. “18 Parkes St Electricity Data FY14”.

Uploading the CSV Spreadsheet

1. Navigate to Emission Data > Manage Upload Data

2. Click “Upload Emission Data” button

3. Choose your file from your desktop/computer

4. Change Template type to “Custom” (i.e. “Custom” should be highlighted Green)

5. Add a File Description (optional)

6. Click “Upload”

7. Wait for the file to upload and for the “Status” to become “Processed”.

8. You have now successfully added this data.

9. You can check by going back into the “Manage Emission Data” table and seeing your data there.

What happens if I don't get a "Processed" status.

Instead, I get a "Bad File" message. What am I doing wrong?

The CSV File that you are using needs to match your organisation's Data Template. If the file you are uploading is not in the same format, you will get a “Bad File” error message.

Check that the following things are in place:

  • The file is saved as a CSV file (i.e. “.csv”, not “.xls” or “.xlsx”)
  • The order of your data columns is the same as your organisation's Data Template
  • You have selected the “Custom Template” rather than “Standard Template” button before clicking the “Upload Emission Data” button. You have selected it correctly if the “Custom Template” button is green.

My status says "Processed with Errors". What does this mean? How do I correct these errors?

If all data in your CSV file uploads successfully, you will receive a “Processed” Status.

If some of your data uploads successfully, you will receive a “Processed by Errors” Status. If you receive this message, you will also see a number (blue text) in the “Errors” column. This indicates the number of errors in the file.

Click on the number in blue text (e.g. “14”) and the file with errors will download. This error file contains:

  • Only the data rows that unsuccessfully uploaded.
  • You will see two additional columns (columns A & B) which identify the row number and the error experienced.

How do I resolve the error identified?

There are a couple of common error. See below for how to resolve each.

Error Reason Steps to Resolve
Entity “XX” is not assigned to Emission Profile Source “YY” Data cannot be uploaded to an emission source if it is has not been allocated to that entity. This is essentially the same issue as not being able to see an emission source for an entity in the manual data entry form. To resolve, an Admin user needs to go into the Manage Emission Profile section > select the emission source > click on the “Assign Entities” tab > move the entity into the “Assigned Entities” list (on right hand side).
Wrong date format. The date format does not match the date format set up in your user account. To upload data, you need to use the same date format To resolve, an Admin user can either update your date format in your user profile by going into the Manage User section. Typically, the date format set for most users is DD/MM/YYYY so also try using this
Asset “XX” is not assigned to Emission Profile Source “YY” Data cannot be uploaded to an asset if it is has not been allocated to that emission source. To resolve, an Admin user needs to go into the Manage Emission Profile section > select the emission source > click on the “Assign Assets” tab > move the asset into the “Assigned Assets” list (on right hand side). They may then also need to assign the Asset to the Entity if this hasn't been done. This is done in the Manage Entities section. Select the relevant Entity and do the same in the Assign Assets tab.
Entity “XX” does not exist. The Division column must contain the exact EntityID for the Entity you are uploading. This message means the system does not recognise the EntityID you have entered. An Admin user can double check the EntityID by going into the Manage Entity section, selecting the relevant entity and checking the “EntityID” field. Also check that there are no spaces at the end of the EntityID which may be causing the error
Emission Profile Source “XX” does not exist The Emission_Profile_Source column must contain the exact EmissionID for the Emission Source you are uploading. This message means the system does not recognise the EmissionID you have entered. An Admin user can double check the EmissionID by going into the Manage Emission Profile section, selecting the relevant emission source and checking the “EmissionID” field. Also check that there are no spaces at the end of the EmissionID which may be causing the error
Unknown units “XX” The Contribution_Units column must contain the exact name of the Unit of Measure you are using. The Unit of Measure also must be an available unit for the emission source you are reporting against. To check that the unit of measure is available for the emission source, go into the Manage Emission Data section, select the Entity & Emission Source, click on “Create Emission” and check what units are available in the Units dropdown. If your unit is available, it may be that you have not used the correct naming format. To get the correct naming format, refer to List of Contribution Units. Alternatively, if the emission source is a Custom Emission Source, an Admin user can check the specified Unit of Measure allocated to the custom emission source in the Manage Emission Profile section.
Unknown currency “XX” The Currency column must contain the exact name of the Currency you are using. To get the correct naming format, refer to List of Currencies.
Column “Contribution” must be a number consisting of one or more digits A non-numercial symbol has been entered in this column. Look for and remove any commas, currency symbols or dashes from this column. Change any dashes (i.e. “-”) that may represent zeroes to 0.
Contribution is required for this type of Emission Profile Source. [ “” ] You cannot leave any contribution field blank. Replace all blank Contribution fields with a 0 or delete the row
Column “Cost” must be a number consisting of one or more digits A non-numercial symbol has been entered in this column. Alternatively, a Currency has been specified by no Cost data has been inputed (i.e. field left blank) Look for and remove any commas, currency symbols or dashes from this column. Change any dashes (i.e. “-”) that may represent zeroes to 0. If you do not wish to add Cost data, remove the Currency specified in the Currency column.
