Manage Entities

Overview

  • Entities in CarbonView are used to reflect organization's hierarchy and its reporting structure.
  • Parent or corporate level entity is represented by a root entity.
  • Admin users create sub entities under the root entity to reflect organization's set up.
  • Entities by default are active i.e., available for assignment to emission sources, users and adding data to.
  • Assets can be assigned to capture more detailed information (e.g. at a electricity meter level, or individual vehicle level or even printer level)
  • Business measures can be defined for an entity to enable emissions normalization.
  • Targets can be set for each entity to track performance
  • Date ranges can be set for entities to lock down data to prevent modifications once finalised.

Adding & Updating Entities

Admin users navigate to Admin menu > Setup > Manage Entities

To create a new entity:

1. Click on the Parent Entity to which you wish to add this entity

2. Click on the button “Add Entity” at the bottom of the page.

3. Complete the Add Entity form with the following information (mandatory fields are required only)

a. *Entity ID - a unique code to identify the entity. This ID is used to identify the entity when uploading emissions data.

b. *Entity Name - this name has to be unique amongst sibling entities.

c. Entity Description - a brief description or additional information about the entity.

d. Active - check the box to indicate if the entity is available for emission calculations. If not, the entity is not used for emission calculations. Defaults to active.

e. Allocation Rules - This is a flag to indicate that allocation rules can be defined for this entity.

f. Effective Start Date - click the Calendar icon to select a start date.

g. Effective End Date - click the Calendar icon to select an end date.

h. Allocation Start Date - click the Calendar icon to select a date when the allocation starts to take effect.

i. Allocation End Date - click the Calendar icon to select an allocation end date.

j. Industry Code - Code to identify the industry that the entity belongs to.

k. Business Number - Business number i.e., DUNS etc.

l. Longitude - Geographical longitude for where this entity is located.

m. Latitude - Geographical latitude for where this entity is located.

n. Equity - % stake that the company has.

o. Operation Control % control that company has over entity's operations.

p. Street - Street address of the entity.

q. City - City where the entity is located.

r. State - State where the entity is located.

s. Country - select a country from the drop-down list.

t. ZIP - Postal code for the entity.

u. Currency - select currency in use from the drop-down list.

2. Select from the following options:

a. Click the Save button to add the entity. The newly created entity is added in the Entity Tree under the parent entity from which it was created.

b. Click the Cancel button to abort the action and return to theUpdate Entity page.

Deleting Entities

Click the Delete button to delete the entity. The Delete button is displayed on the lowest node in the Entity Tree when no emission data is entered against the entity. Only entities on the last node can be deleted.

Assigning Assets to Entities

In CarbonView, Assets are things like motor vehicles, printers, electricity meters, etc which are not necessarily entities or physical buildings but lower level items which you might want to track emissions for.

Assets are set up by Admin Users in the Manage Assets section, but can be assigned to Entities for granular data capture.

To assign an asset,

1. Click on the “Assign Assets” tab.

2. Assets already assigned to the Entity will appear under the “Assigned Assets” heading. All other available assets to be assigned will appear under the “Available Assets” heading.

3. Use the Search bar or header sorting options to find the assets you want to assign and click “Add”. Once it appears in the “Assigned Assets” table, it has been saved.

To remove an asset, simply click “Remove”.

Note: If the asset is not in the “Available Assets” table, you will need to add it to the Assets Register in Manage Assets.

Business measures are things like building area, number of employees, production output.. things that will alow you to normalize your consumption and emission data and compare emissions intensity across different parts of the business.
