===== Using Flexible Fields ===== ===== Using Flexible Fields =====

+All flexible fields are available for entering data against in both:
+  * The Manage Data Form
 +  * Manage Data Template

+==== Using Flexible Fields in the Manage Data Form ====

+1. Select "Manage Emission Data" from the "Emission Data" menu
 +
+2. Select the Entity & Emission Source you want to add data to.
 +
+3. In the "Create Emission" form, you will see that the new Flex Field/s that you customised now appear at the bottom of the form. You can now add data and click "Save".
 +
 +Important Note:
+  * Flex Fields will appear on all data forms. There may be emission sources that these flex fields are not applicable to, such as Driver Name not being applicable for reporting Electricity Use. All flexible fields are non-mandatory so where they are not applicable, just leave blank.
+  * Flex Fields will appear in the form using the translated value/label you assigned to it. If you are capturing numerical data, it is a good idea to include the Unit of Measure in the label so that users know what unit to report in. For example, "Distance Traveled (km)"
 +
+==== Using Flexible Fields in the Data Template ====
 +
+1. In order to be able to upload data to the Flex Fields using a CSV spreadsheet (i.e. Data Template), an Admin User firstly needs to add these fields to the Data Template for the organisation.
 +
+2. To add these, go to Admin > Global Settings > Manage Data Template
 +
+3. Search for "flex" in the Data Elements table to bring up the list of all Flex Fields.
 +
+4. Tick the "Include" box next to the flex fields you wish to include in the data template. Note that in this table, the translated values don't show so you will need to know which flex fields you used.
 +
+5. Once you've ticked on your flex fields, click on the "Customise Template" button to check that you're happy with the way the data template looks. If you need to re-order the columns, simply move each data element up/down to reposition.
 +
+6. Click "Generate CSV Template" button to download updated Data Template for use in uploading your data.
 +
 +Note:
+  * In the CSV Template, the Flex field headings remain as Flex1, Flex2 etc. You can manually rename these and save the CSV template before distributing to your users.
+  * When uploading the CSV template in the Manage Upload Data section, always select "Custom Template" not "Standard Template"
+  * Ensure that you only enter numerical data against Flex Fields 1-5 and Text data against Flex Fields 6 - 15
 +
+===== Customise Reports to include Flexible Field Data =====
 +
+The Standard Reports available in CarbonView do not include Flexible Fields.
 +
+Please feel free to discuss the customisation of reports with your CarbonView account manager so that reports can be updated to include flexible fields.
